FAQ | Celebration of Life & Memorials

What spaces are best suited for a Celebration of Life? Can we hold both the service and the reception in the same space?

Jack Poole Hall can seat up to 400 guests (requires some additional chair rentals). The room includes a stage, podium with microphone, 4 handheld mics and two 14‑ft screens with ceiling‑mounted projectors. 

For larger celebrations of 250 guests or more, we suggest adding the first‑floor lobby for a post‑service reception. This space is available after 5:00 p.m. on weekdays and 4:00 p.m. on weekends. 

For mid‑size events of 250 guests or fewer, there is space at the back and sides of the hall for a stand‑up reception. 

For intimate gatherings of 20 guests or fewer, some of our lobbies work well.

Can we show a slideshow or video presentation during the event? Do you provide microphones and technical support?

Jack Poole Hall includes a stage, podium with microphone, and two 14‑ft screens with ceiling‑mounted projectors. The room includes one podium microphone and four wireless microphones. 

We provide basic plug‑and‑play support only. Our event ambassadors can assist with plugging in your laptop and ensuring microphones are set out. Laptops must connect via HDMI; Mac users must bring their own dongle. 

Event ambassadors do not operate or manage presentations. 

If you are using one of our smaller lounges, additional AV rentals may be needed. 

Is it possible to livestream the service for guests who cannot attend?

Many clients choose to livestream their service. We highly recommend hiring an external AV company, as our in‑house AV system is not equipped for livestreaming without additional equipment and technical support.

If you plan to record the service from a phone or personal device, our campus Wi‑Fi network is UBC Visitor. 

Can guests light candles? What are the restrictions?

Candles may be used on the stage or on a designated table for the service. All candles must be in an enclosed votive.. 

We do not recommend using a large number of candles. Please consider LED or digital alternatives. 

Is alcohol service permitted at Celebration of Life events?

Can we reserve additional spaces for private family gatherings before or after the service?

Yes. The Koerner Family Terrace Lounge is an excellent option for a private pre‑reception space for close friends and family:

Our classrooms, located directly across from Jack Poole Hall, are also available as add‑on rooms:

These are useful for family privacy or as a space for young families.
Add‑on rooms are available at a 50% bundle rate. 

Can vendors deliver flowers, AV equipment, or rentals before the event?

Deliveries can be accepted on the day of your event. 
If you require delivery a day or two in advance, or next‑day pickup, please coordinate with your venue contact. Additional details are available in our Décor and Venue Access FAQ. 

The deceased is a UBC alum, faculty member, or staff member. Are there pricing considerations?

If the deceased was a recent UBC faculty or staff member, internal UBC pricing will apply.
If the deceased, their spouse/partner, child, or parent is a UBC alum, the alumni discount will be applied. 

Please share details with your venue contact. Verification may be required. 

Are we allowed to display ashes, urns, or a casket during the service?

Ashes and urns may be displayed. We recommend adding a cocktail table or six‑foot table to your floor plan. 

If you are considering a casket, please note that our elevators are 7×7 ft, which is too small for most caskets. Caskets must remain in Jack Poole Hall and cannot be displayed in public hallways. Jack Poole Hall is located on the second floor.
