The Robert H. Lee Alumni Centre is a perfect setting for your modern-classic wedding or private celebration. Sitting in a prime location in the heart of UBC’s Vancouver campus, it’s next door to both transit and parking.

The flexible space can be used for ceremonies and receptions with up 300 seated guests with a dance floor. Our professional catering partners can work with you to plan and execute all your food and beverage needs. Our skilled event team will provide exceptional service to help make your day a success from start to finish.

Our wedding packages include our Jack Poole Hall, complimentary bridal room, access to our commercial kitchen, our in-house furnishings and, for evening rentals, our Wong-Trainor Welcome Centre.

Ceremony & Seated Reception

The large ballroom allows guests to enjoy a full seated  dinner for up to 300 guests, with a rented in dance floor.

Our expert team can transform the room from a ceremony to a seated reception in approximately 1.5 hours, while you and your guests enjoy cocktails in our Welcome Centre lounge.

Reception & Cocktails

The perfect space to enjoy a cocktail and some light refreshments. This space is included in your wedding rental package. It is only available after 4 pm on weekends and 5 pm on weekdays. An outdoor patio set-up is available upon request.

Bridal Room & Additional Spaces

One complimentary classroom is offered to all wedding rentals. This can be used to lock up valuables and provide a space for the wedding party to do a quick change throughout the evening. An additional classroom can be rented if required.

Our Koerner Family Terrace Lounge is available for an additional fee, offering an exclusive penthouse lounge with a wraparound patio offering a full view of campus. It’s perfect for small tea ceremonies or a glamorous space for the wedding party to prep hair and makeup.

RENTAL INFORMATION

  • Rental rate includes all set-up and tear-down of our in-house tables and chairs, podium, mic and room cleaning.
  • One on-site venue ambassador (not a day-of wedding coordinator), and evening rental includes two security guards.
  • Our exclusive catering partners can assist you with your food and beverage service. We can also allow you to bring in your own alcohol under a special occasion permit (a small galley fee applies).
  • UBC alumni and their children save on room rental bookings — ask us.

You’ve received a quote, started your budget, met with us, and toured the venue either virtually or in person,  and you’re ready to commit with a 50 per cent deposit.

Final details

Book an onsite walkthrough with your caterer and any other key vendors. Confirm your guest list, start creating your floor plan with your venue specialist, and send them your day-of schedule.
If you are planning to, ensure you have your SEP completed and have prepaid for parking.

Wedding day

Your big day is here! It’s going to be busy, but you have a great team, a great plan and a beautiful venue to celebrate in.

Assuming you have booked the full day.
Our student event ambassador (SEA) will be onsite to greet your vendors for deliveries — just have them check in with the front desk upon arrival.

11 am
Decoration and prep

Assuming you have booked the full day.
Dance floors, flowers, arches, pipe and drape, lighting, and more — your canvas is coming together.

3:30 pm
Ceremony

Guests arrive and are seated in the Jack Poole Hall. The ceremony begins around 3:45 pm, and you both look amazing.

4:30 pm
Cocktails and photos

You did it — you’re married! Guests head into the Welcome Centre Lobby, where catering staff greet them with food and beverages. People mingle and share stories while the piano plays in the background.

5:50 pm
Seated reception

Guests return to the Jack Poole Hall, and take their seats. Your evening plans begin, and your MC’s hosting duties start.

12:30 am
Last call

It’s last call for the bar — and it’s time to call taxis for guests who need a safe ride home.

1 am
Close

The event ends, guests leave. The catering team packs up and any vendors come in for pick up. Load-out must end by 2:30 am.
